Step by step

Team captains

Create teams, manage your roster, post games and fill open places.

Updated October 11, 2026

Before you start

One account can be used for playing, captaining, organizing, running a school and family access. Use Switch workspace to choose what you want to do.

  1. 1

    Open Captain workspace

Choose Continue as Team Captain or add Captain tools in Choose your workspace. Use Switch workspace to select Captain. You keep your existing Player profile, teams and answers.

  2. 2

    Create a team

Select New team, enter its name, select a sport, and add an area, color and description as needed. Select Create team. You can run up to five teams.

  3. 3

    Build the roster

Open the team’s Roster. Use Invite players to invite a player; email invitations contain a real join link. Check delivery status rather than assuming it arrived. Use Add a player without an account for guests; you can record their answers manually. Only use contact details you have permission to use.

  4. 4

    Post games and practices

In Events, select New team game. Enter title, date and time, time zone, location, roster size and RSVP deadline. Choose a one-time or repeating schedule, then Post game. Use Scheduled, Past or All games and search to find an event.

  5. 5

    Check answers and send reminders

Open the game to see who is in, out or has not answered. Open the reminder panel, review recipients, channels and skipped players, add an optional note, then confirm the send. Recent sends may require a cooldown confirmation. Check reminder history for failures or blocked delivery.

  6. 6

    Set automatic reminders

In the team’s Settings, enable Automatic reminders and choose the timing in the team’s time zone. Save reminder settings. Players’ independent notification choices still apply; unavailable services never change those choices. Nothing is sent after the game starts.

  7. 7

    Find substitutes

In the game’s Substitutes section, set spots needed, skill range and respond-by time, then select Find subs. Matching uses sport, skill, area and availability. Review accepted places; use Contact next batch if more players are needed. An invitation is not a confirmed player.

  8. 8

    Enter a tournament

On your team page, enter the organizer’s Tournament code or link and select Request entry. Registration must be published. Wait for organizer approval. Your roster stays on your team; the organizer sets tournament match times and scores.

Keep in mind

  • Captain tools are free during launch. Adding a role does not give access to someone else’s teams. Keep your team’s time zone and contact information accurate.
